Files and Apple Intelligence

Your file contents stay on your Mac. Filehaven stores a local metadata index for folders you explicitly connect, including file paths, names, types, sizes and dates. It also saves verified duplicate fingerprints and hashes locally. Selected document excerpts and supported OCR results can be processed through Apple’s on-device Foundation Models framework. Filehaven does not upload your file contents to its account or license server.

Account and license information

The website stores your email address, a one-way password hash, session records, checkout references, plan status and license records. App activation sends your license key, release version and a random installation identifier. That identifier is stored in macOS Keychain; we do not need your device serial number or your folder index. License keys are protected on the server and signed activation certificates are used in the app.

Payments

Dodo Payments hosts checkout and acts as merchant of record. Dodo handles card details, billing addresses, applicable tax and payment processing under its own privacy notice. Filehaven receives payment and subscription references needed to provide access and support. We do not store your full card details.

Cookies, logs and service providers

Essential, path-scoped cookies keep you signed in and protect requests. No advertising or analytics trackers are installed by the Filehaven website. WordPress powers the public website and release notes. Customer licensing is handled by the Filehaven account service; WordPress administration uses a separate restricted login. Hosting, email delivery, payment processing and limited security logs are used to operate the service. Technical logs may contain IP addresses and request information; secrets, passwords and file contents must not be logged.

Retention and your choices

You can remove connected folders from the Mac app and keep control of locally collected files. Account and billing records are retained while needed to provide the service, resolve disputes and meet legal/accounting obligations. Contact support to request access, correction or deletion of account data, subject to required record retention. Removing an account does not delete files on your Mac.

Local cleanup policies

Cleanup instructions, review history, original file locations and disposal choices are stored locally. Files first move to Cleaned By AI for review. Automatic collection and timed disposal are opt-in and run only while Filehaven is open. Permanent deletion cannot be undone. No billing event triggers deletion of your personal files.

Changes

Material changes to this notice will be reflected here with a new effective date. Contact support with questions before supplying sensitive information.
